Job Description

HOA Property Manager - $20-$25/hr
This position oversees the daily operations of a homeowner’s association (HOA).

Responsibilities include:
  1. Managing HOA records- with the help of the office staff, ensure all documents regarding the HOA, communication with residents, and other HOA documents are kept and stored according to policy.
  2. Assist the Board- with the help of the maintenance and office staff:
    1. ensure the HOA stays within budget
    2. review policies and procedures and provide recommendations for improvement
    3. assist in sending notices and mail outs to residents and/or owners
    4. advise the board on various matters and decisions
    5. ensure the Board complies with all statutes and laws
    6. help facilitate board elections and the annual meeting
    7. assist in the preparation of the annual budget
    8. communicate with the Board by scheduling and attending regular meetings
    9. schedule meetings to address emergencies as necessary
  3. Managing internal communications with the HOA Board- ensure the HOA Board of Directors is kept up to date on the office and maintenance operations.
  4. Oversee the maintenance staff- maintenance staff will report directly to the Property Manager and keep the manager informed of planned and emergency maintenance. The Property Manage will also assist the maintenance Supervisor in dealing with third-party contractors. Schedule and attend weekly staff meetings.
  5. Oversee the office staff- office staff will report directly to the Property Manager and keep the manager informed of dues collection and delinquency, records requests, bill payments, and communications with residents. The Property Manager will be responsible for handling all records requests and communicating with residents as necessary. Schedule and attend weekly staff meetings.
  6. Keep and maintain financial records and perform payroll duties- the Property Manager will perform payroll. The Property Manager will ensure the financial records are closed out each month and presented to the HOA treasurer for inspection. The Property Manager will notify the HOA if any issues arise. Ensure all vendors and staff have filled out the correct paperwork for employment.
  7. CC&R and By Law violation enforcement- ensure owner and property compliance with the HOA’s rules and regulations consistently and regularly. Inspect potential violations and send notices about and follow up on violations and manage disputes between parties.
  8. Dealing with Insurance, Real Estate, and Loan requests on behalf of the HOA- with the help of office staff, ensure all requests for information regarding insurance, HOA documents, real estate, and loan applications are completed in the timely manner.
Knowledge, Skills and Abilities: The ideal candidate will possess the following:
  1. Strong leadership and communication skills with a desire to learn
  2. Strong communication and listening skills
  3. Professional demeanor and multi-tasker
  4. Ability to build rapport and collaborate with a wide range of individuals, including fast-paced or stressful environments. Resolve complaints using conflict resolution and mediation skills
  5. Read and understand the HOA’s governing documents within 6 months of employment
  6. Have a working knowledge of federal, state, and local statutes and laws governing HOAs
  7. Have a working knowledge of filing procedures for legal documents
  8. Accounting experience using Intuit QuickBooks preferred.
  9. Proficient in Microsoft Word and Excel
  10. Working knowledge of Microsoft Access, proficiency in Access is preferred.
